Vendors Letter

Deaf Celebration 2019 Booth Vendors,                                  

Thank you for being part of our expo!

On October 5, 2019, Richardson Civic Center (RCC)  will open their doors at 7:00 AM. Vendors are welcome to begin setting up their booth between 7:00 AM – 9:00 AM. Unfortunately, setup on Friday is not available.

Parking is free.

Please use the parking area near the main entrance when checking in (West side of the building near the Library). You also can park or back at the side of the building.

All Vendors/partners will be assigned green wristbands. Attendees will be assigned orange wristbands.

Each booth has 1 six foot table with 2 chairs. You can bring extra table, chairs, shelves, hanging grids, etc as long as they fit within your 8 feet by 10 foot booth space. Vendors must bring extension cords to ensure the power source can be reached if you choose to use the electricity.

The deaf Celebration booth coordinator will assign booths for vendors. Vendors cannot trade spaces nor can they move to another location without approval from the booth coordinator. A map of the floor plan and list of vendors assigned to booth #’s will be passed out to every attendee.

RCC provides a separate WiFi access for vendors and committee.  A password will be given at the event. There will also be guest WiFi access to anybody. We are not responsible if there any issues with their WiFi.

We will give written receipts to all vendors on Saturday morning, including hard copy of this letter.

We will have volunteers will be available to assist all vendors in setting up your booths. Please contact us in the event you would wish to have volunteer assistance.

The exhibition will be from 9:00 am to 5:00 pm, so all vendors need to start tear-down by 5:00 pm.

There are multiple restaurants and fast food options within a mile of RCC. However, we encourage you to support Deaf-owned deaf restaurant Crepe Crazy which will have a truck selling food outside of the RCC. Your green wristband will let our volunteer know that you are one of vendors and allow you to cut in front of the line to get food.

Friendly reminder – please, no balloon during the event. No exemption! 

Note: Deaf Celebration reserves the right to terminate the operation of the Owner at any time during the expo for any of the following reasons:

  1. A professional manner is not maintained by the Owner and its employees.
    B. Owner or employees behave in a manner that could be construed as racist or discriminatory.
    C. Owner or employees commit any act opposite or negative to the purpose of the event.
    D. Owner or employees fail to cooperate with committee and staff.

Note: The vendor assumes the entire responsibility and liability for:

  1. A. Losses, damages, and claims arising out of injury to his/her own personal property or party.
    B. Damage to the vendor’s displays, equipment, or other property.
    C. Agrees not to hold liable or responsible in any form the Deaf Celebration, its event coordinators, guests, volunteers, and participants against any and all claims or expenses for such losses, arising out of the performance of this agreement.

Deaf Celebration has right to reserve the change these terms at any time.

We will have a volunteer photographer take pictures during the expo. All pictures that are taken by our official Deaf Celebration photographer will become property of photographer as individual and Deaf Celebration as an organization — purpose for future use such as promotion, advertising, website and brochure.

If you do not want to have your booth or your products to be pictured, please let the photographer and/or officers know.

The “NO PHOTO” sign on your booth is strongly recommended if you want to protect yourself & your group / company.

Finally, there will be an evening event at 7:00 PM at Richardson Room — we will have family game night. There will be plenty prizes. The gentleman Daymond Sands is our Master of Ceremony.The games are Kahoot!, Dragon & Dungeons, chess, ABC Luck, Cards, Domino, and etc.

Evening admission is $5 per person. Children sitting on parents (3 year and younger) are free. Ticket sales will be conducted during the day and as well as at the door prior to the start of the event.

We will sell Deaf Celebration T-Shirt all day! $20 dollars!
